WASHINGQUOTES
Privacy Policy
Effective October 8, 2026
This policy explains how WashingQuotes handles information through its website, business dashboards, customer quoters, and shared pricing sheets. The washing business shown on a quoter separately controls how it follows up on requests and uses information in its own systems. Ask that business about its own privacy practices.
1. Information provided to the platform
- Contact messages: name, email, optional business name, topic, message, submission time and delivery status. Messages are shared with the Washing Quotes team through its email connection so we can respond to your inquiry.
- Business accounts: login identity and email, business details, branding assets, pricing, plan preference, and account settings.
- Membership billing: billing name and email, selected plan, consent timestamp, payment and subscription identifiers, payment status, renewal dates, and the card’s last four digits. Square collects and stores full card details; WashingQuotes does not receive your full card number or security code.
- Quote requests: customer name, phone number, email, service address, selected services, measurements, notes, additional interests, uploaded photos, offer selections, calculated pricing, and quote validity.
- Connections: saved CRM webhook details and, when a business enables text alerts, its Twilio Account SID, sending number, recipient mobile, and encrypted Auth Token.
- Operational information: cookies or access tokens used for sign-in and browser trials, request timestamps, lookup/notification usage, delivery status, and a derived IP-address hash used to limit quote abuse. Hosting and service providers may also process network and security logs.
2. How information is used
Information is used to operate accounts and quoters, calculate and preserve pricing, route requests to the selected business, display its client requests, provide owner notifications, support user-selected sharing, prevent abuse, and resolve support problems. The customer’s contact information allows the selected business to respond to the quote request. Providing it does not by itself authorize unrelated marketing.
3. Where information is shared
- The selected washing business: submitted quote details and photos are available in its dashboard. Authorized platform administrators may access records when administering or supporting the service.
- Hosting and authentication: the platform uses OpenAI Sites/Cloudflare infrastructure and, where configured, Supabase sign-in to host content, store records, and maintain access. Authentication providers process passwords or identity information under their own policies.
- Square: when you authorize a paid membership, your billing information is sent to Square to process the initial payment, save your card and manage automatic renewals. We receive payment and subscription updates. Payment records may be retained after a business account is removed for billing, accounting and dispute handling.
- Google Maps and RentCast: address searches and selections may be sent to Google for suggestions and to RentCast to look up living-area square footage. The interface explains that these are not measurements of driveways, decks, or patios. You can enter or correct measurements yourself.
- Optional AI photo suggestions: when enabled for a business and you agree to use it, your resized project photos and that business’s available service names are sent to OpenAI to suggest services and describe visible project conditions. We do not include your form’s name, email, phone or address in that analysis request, although details visible in photos may still be processed. Avoid uploading people or private documents. Suggestions are not measurements or confirmed findings. You review the scope, supply measurements and choose whether to submit it to the business. Unsubmitted analysis records expire after 24 hours and are removed on a later analysis request; submitted observations remain with your quote. We request that OpenAI not store the API response; OpenAI’s own security and retention policies may still apply. You can skip AI analysis and submit photos with a manually prepared request.
- Optional browser speech services: voice input is started by your action. Depending on the browser, its speech provider may process audio remotely. WashingQuotes uses the returned transcript to fill fields; this feature does not upload a raw audio recording to our quote records. Submitted transcripts become part of the corresponding form answers.
- Optional CRM and text connections: a configured Zapier/CRM workflow receives quote information and a branded sheet/link. Private photo files are not attached to the CRM payload, though a photo count is included. Twilio processes the owner’s phone numbers and notification message when alerts are enabled. Businesses control their own connected accounts and workflows, including any follow-up email actions.
- Quote confirmation emails: when enabled for your selected business, submitting a request sends your email address and branded quote details to that business’s own Zapier workflow and connected email provider, such as Gmail or Outlook, to email you a copy from its mailbox. WashingQuotes records a confirmation when that workflow reports a successful send. This transactional email is separate from marketing and includes a link to your saved pricing sheet.
- Your chosen recipients: shared pricing-sheet links can be viewed by anyone who receives the link. Your email, messaging, or sharing app processes what you choose to send. Public business logos and service images can be viewed by visitors.
We may also disclose information where required by law or necessary to address fraud, security incidents, or protect legal rights. We do not use this quote workflow to sell customer information or create third-party advertising audiences.
4. Cookies and browser-only demo information
Functional cookies support authenticated sessions and browser trials. A browser trial may rely on an access cookie, so clearing it can remove access until the trial is linked to a login. Demo form answers and photos are not submitted as saved business quote requests and can be cleared by resetting or closing the demo. Optional Google/RentCast lookups and browser speech services can still process information during a demo, as described above.
Saved progress, property history and reminders
When you choose Save progress, or Continue on a participating business’s information step, your contact details, selections and measurements are stored for up to 30 days. A private resume link is stored in your browser; anyone with that link can open the saved form. After Continue, changes to the emailed saved form are saved automatically while it is open; photos must be attached again. You can clear the saved progress; submitting removes its saved form contents. Expired drafts become inaccessible and are deleted during a later draft-save request.
Live quoters record anonymous session identifiers and steps reached to show businesses how their quote flow is used. Businesses can record verified measurements, job outcomes, private notes and before/after photos for repeat visits. Reusing a quote applies current rates. These property records stay private to the business and authorized administrators.
For participating businesses, Continue sends a branded welcome email with your private resume link and schedules one helpful email if your quote is still unsubmitted 48 hours later. You can turn off that reminder from either email. Submitting a quote, clearing its saved progress, changing the saved email address, or expiry stops it. These emails use the business’s connected mailbox and Zapier; your email, first name and private resume link are shared with those providers. This is separate from unrelated marketing.
For participating businesses, submitting a request also schedules one automatic service follow-up after 48 hours if the request still needs a response. The business mailbox and Zapier process the reminder. You can withdraw permission using your private quote link; the business can stop reminders or mark the request contacted or booked. This does not sign you up for marketing.
5. Retention and security
Saved business settings, requests, pricing sheets, and uploaded assets persist to support the service; quote expiry, cancellation, or trial end does not automatically delete them. We do not currently apply a fixed automatic deletion period to all records. Contact us and the selected business to request review, correction, or deletion. Some information may need to remain for security, dispute handling, legal obligations, or provider backup processes. Copies already shared with a business, CRM, or recipient may be controlled by that recipient.
We use access checks and other safeguards, including encryption of saved connection credentials and temporary payment tokens and separation of private customer photos from public branding assets. No storage or transmission method can be guaranteed completely secure. Keep account access and shared pricing-sheet links private, and avoid uploading unnecessary sensitive information.
6. Your choices and requests
You can edit form information before submitting, skip photos or voice input, correct measurements, and choose whether to share a pricing sheet. Business owners can update their settings, turn off text alerts, or remove their saved Twilio connection. If you need to correct a submitted request, contact the business that received it.
Depending on applicable law, you may have rights to access, correct, delete, obtain a copy of, or restrict certain uses of your information, and to make a complaint to a relevant authority. Contact us with your request. We may need to verify identity and coordinate with the selected business before acting. Do not email passwords, authentication tokens, or unnecessary identity documents.
7. Children and processing locations
The platform is intended for business owners and people arranging property services, not for children under 13. If you believe a child has provided information, contact us. Our infrastructure and connected providers may process information in the United States or other countries where they operate.
8. Changes and contact
We will update this page when our described practices change and show the effective date. For information about a third-party provider’s processing, consult that provider’s privacy policy as well.
